Meet Volunteer Position Descriptions

Scorekeeper (3 credits)

  • Go through the timer sheets and sort them by Event. Put them in lane number order.
  • For each swimmer, circle the middle time in red. If only 2 times are listed, then calculate the average .
  • Make sure all DQ slips meet the DQ criteria.
  • For each DQ slip, find the corresponding timer sheet. Write "DQ" in red next to the applicable entry and circle DQ.
  • Staple the DQ slip to the back of the timer sheet.
  • Allow a little time for DQ slips to come in for butterfly, breaststroke, and IM. (Go ahead and paper clip the timer sheets, but wait to give them to the reader until DQs have been brought in.)
  • Sometimes DQ slips come in after the data entry reader has given the time to the computer operator.
  • In this case, be sure to tell the data entry reader that the time needs to be changed to DQ.
  • Paper clip the timer sheets for each Event in lane number order; set aside for the Data Entry Reader.

Clerk of the Course (4 credits)

Before the meet:

  • Be on the pool deck during warm ups to make sure everything is set to begin the meet.
  • Make sure you have the most current heat sheet.

During the meet:

  • Responsible for lining up the kids in heat and lane order behind the blocks.
  • Work with the Assistant Clerk to verify that the correct kiddos are in the correct lane and heat chairs
  • Remind swimmers that they may not leave their seats until told to do so.
  • Direct the front row of swimmers from the chairs to the chairs behind the starting blocks.
  • Move swimmers forward on the chairs.
  • You may either leave empty lanes empty or combine heats to decrease the total number of heats.
  • If you make adjustments, be sure to let timers and the starter know and have them make changes on timer sheets for all affected swimmers.
  • If timers are at the opposite side of the pool, have the announcer communicate any changes with the timers.
  • Never let just one swimmer swim in a heat alone move a swimmer up or back or combine events.
  • Have a highlighter to check off heats.
  • Work closely with the assistant clerk of course.

Assistant Clerk of the Course (4 credits)

Before the meet begins:

  • Make sure you have the most current heat sheet
  • Highlight all Nottingham by the Green swimmers

During the meet:

  • Works closely with the NBG zookeepers and clerk of course for the home team.
  • Do the same things required of the clerk of the course but in an assistant capacity.

Heat Ribbon Worker (3 credits)

  • Stand at the side of the pool opposite the blocks.
  • For each heat of 8 and under and 9-10 year old individual races, watch to see which swimmer touches the wall first. (Don't ask timers for times, just visually determine who was first.)
  • Give a heat ribbon to this swimmer (even if it was a DQ).
  • If it's too close to tell, give one to each swimmer that touched first.
  • Older swimmers do not receive heat ribbons.
  • There are on heat winners in RELAYS.

Hospitality (3 credits)

  • Get water bottles from the concession stand.
  • Make periodic sweeps of the pool deck to determine the need for water.
  • Offer water to the starter, the timers, the clerk and assistant clerk of the course, and the stroke and turn judges throughout the meet.
  • You may also check with the coaches of both teams.

Reader (3 credits)

  • Wait for the balloteer to review the timer sheets and prepare them for you to read.
  • Take the prepared timersheets from the balloteer.
  • For each swimmer, read the swimmer name and the time circled in red to the computer operator. If it says DQ, then read "DQ".
  • Paper clip the timersheets for each Event in lane number orderand set aside for the Scoring Verifier to use.

Ribbon Worker (2 credits)

  • THURSDAY JOB
  • Get the result stickers from Team Manager on Thursday morning.
  • Each ribbon label will list the swimmer's name, team and place.
  • For each NBG swimmer, place the printed label on the back of the appropriate ribbon. (The other team will have their own ribbon worker.)
  • File each ribbon in the swimmer’s file in the file box.
  • Bring file box back to pool deck by Friday at 8:30am.

Runner (3 credits)

  • Collect the timer sheets from the timers after each event.
  • There will be one timer sheet per lane, not per timer.
  • Put them in lane number order.
  • Take them to the computer room and give to the balloteer. (If there is only one heat of an event, then you may wait and take multiple events to the balloteer at a time.
  • Be sure to sort them by event.

Starter (4 credits)

  • Call events that need to report to the Clerk of the Course. Do this far enough ahead of time so that the swimmers have plenty of time to get to the staging area.
  • Announce each event # and name of the event ex. "This is Event 1, Girls 8 and under freestyle."
  • Announce the heat and tell swimmers to step up ex. "Heat 1, step up."
  • Start the heat ex. "Take your mark" and sound the horn.

Scoring Verifier (3 credits)

  • Once the times have been entered into the computer for an event, a results sheet will be printed.
  • Take the results sheet for each event and the corresponding timer sheets.
  • Go through each timer sheet line by line, comparing the time for each swimmer to the time printed on the results sheet.
  • If the times match, make a checkmark on the timer sheet next to the swimmer's name.
  • Any errors will need to be given to the data entry reader for correction in the computer.
  • Once an event is verified, separate any DQ slips from the timer sheets and place in piles by team (the coaches will.want these at the end of the meet.)
  • Tell the computer operator the event number that has been verified, so ribbon labels can be printed and results posted.

Timer (3 credits)

Before the Meet:

  • Get a stop watch from the NBG team manager.
  • Attend the timer meeting.
  • Determine which of the 3 timers in your assigned lane will hold the clipboard and write down times.

During the Meet:

  • For each race, start your watch with the strobe light (do not listen for the horn)
  • Time your lane.
  • As soon as the swimmer touches the wall, stop your watch.
  • Give the time to the timer with the clipboard.
  • Record times even if it is a DQ.
  • If you miss the start, raise your hand for the back-up timer to come time your lane.
  • If you need a bathroom break, raise your hand for the back-up timer.
  • If a swimmer is moved to a different lane, only the timers with the swimmer in
  • their lane need to time the race.

After the Meet

  • Return the stopwatches and clipboards to the NBG team manager.

Zookeeper (4 credits)

Before the meet:

  • Discuss with Clerk of the Course how many events ahead of time to bring the swimmers.
  • Discuss with the Clerk of the Course how 10 and under relays will be handled.

At the meet:

  • Organize the 12 and under NBG kids for each event. (Typically this would be done 4 events ahead of time.)
  • For each event, line up the swimmers in the crash area in heat and lane number order
  • If you are missing any 12 and under swimmers, briefly look for them in the crash area. (Relay teams must have all 4 swimmers to participate.)
  • Once they are organized, walk the swimmers to the other end of the pool and hand over to the assistant clerk of the course.
  • Make sure you are bringing them in time, but not too soon. Work with the Assistant Clerk of the Course to determine the proper flow and timing.
  • Help the 10 and under swimmers with relays. Two will be at one end of the pool, and two will be at the other.
  • Remind the swimmers what stroke they will be swimming.

Saftey Marshal (4 credits)
The Swim Meet Safey Marshall plays a key role in keeping the swim meets safe, organized and running smoothly for all athletes, families, volunteers and officials. This position serves as a friendly but firm persence on the pool deck and surrounding areas to help enforce facility and safety rules and maintain clear walkways and emergency access zones.

Before the Meet:

  • Check in Volunteer Coordinator to recieve your very official Saftey Marshal vest.

During the Meet:

  • Ensure a min 4-foot safety perimeter around the pool. 
  • Politely ask spectators, families and campers to relocate chairs, coolers, bags, tents, or personal items blocking walkways or safety zones. 
  • Supervise the crash area and help ensure swimmers are following facility and team rules, respecting the space and other swimmers, and maintaining safe behavior at all times.

Weekly Volunteer Positions

Teen Night Hosts: This volunteer family will host a Teen Night at their house. Like team dinners in highschool. We would love to get these teens together a couple times during the season to provide an opportunity for our older swimmers to bond and build team relationships outside of the pool deck.


Friday Morning Donut Pick Up: 7:45am: Drive to Price Chopper off 133rd & Quivera. Walk into the bakery. Ask for the 7 dozen (already ordered). Use your personal banking system to purchse donuts. Keep the reciept. Deliver 7 dozen donuts to the NBG pool deck by 8:00am. Drive to Lindsay Messick's house to recieve a check for the purchased donuts.
